The agreement between your clinic and Kalivers Pvt Ltd for using MyCliniCore.

Effective

1. This agreement

These terms are an agreement between Kalivers Pvt Ltd, a company registered in India (“Kalivers”, “we”, “us”), and the clinic or business that signs up for MyCliniCore (“you”). By creating an account or using the service, you accept them.

If you accept on behalf of a clinic, you confirm that you are authorised to bind it. MyCliniCore is sold for use in running a clinic or practice, not for personal or household use.

Our Privacy Policy and Refund Policy form part of these terms.

2. The service

MyCliniCore is online practice software for veterinary and skin clinics. It covers records, appointments, billing, inventory, client messages and AI-assisted notes. What is included depends on your plan and your region, as shown on the pricing page.

We improve the service continually, so features will change. We won't remove a core feature of your plan during a period you have paid for without giving you notice and the option to cancel with a pro-rata refund. Features marked “early access” or “beta” may change or be withdrawn at any time.

3. Accounts and users

  • Give us accurate details when you sign up, and keep them current.
  • You decide who in your clinic gets a user account and what role they have. You are responsible for what your users do in the app.
  • Keep passwords secret, and don't share accounts between people. Tell us straight away if you think an account has been misused.

4. Free trial

New clinics can try MyCliniCore free for 14 days. No card is needed. When the trial ends, the account is locked until you choose a paid plan. We keep the records you entered, so you can carry on where you left off.

5. Fees and payment

  • Fees are those on the pricing page when you subscribe or renew. You can pay monthly or annually. Annual billing costs ten months' fees for twelve months.
  • Fees are charged in advance for each billing period. A subscription renews automatically at the end of each period until you cancel. A one-time payment covers the period shown at checkout and doesn't renew.
  • The price shown is the amount you pay. It includes any tax we are required to charge, unless the pricing page or checkout says otherwise.
  • If we change our prices, we will tell you at least 30 days before the change applies to your next renewal.
  • If a renewal payment fails, we will email you and keep your account fully open for 5 days while you sort it out. After that the account is locked until payment is made. Locking doesn't delete your records.
  • Refunds are covered by our Refund Policy.

6. Your data

  • Your records belong to you. We claim no ownership of the patient, client, clinical or financial records you put into MyCliniCore.
  • You allow us to store and process those records only to provide the service to you, to keep it secure, and as the law requires.
  • You are the data fiduciary for your patients' and clients' personal data. You are responsible for having a lawful basis to collect it, for any notices and consents it needs, and for its accuracy. We process it as described in our Privacy Policy.
  • You can ask us for a copy of all your records at any time. We send it within 30 days in a common format such as CSV or JSON.
  • We may use data about how the service is used, in a form that doesn't identify you, your clinic or anyone in your records, to run and improve it.

7. Clinical and professional responsibility

MyCliniCore helps you run your clinic. It does not practise veterinary medicine or medicine, and it is not a substitute for professional judgement.

  • AI output is a draft. Notes from the AI scribe and suggestions from any AI feature can be wrong or incomplete. A qualified clinician must review them before they enter the record or inform treatment.
  • Clinical decisions are yours. You are responsible for diagnoses, treatments, prescriptions, doses and the clinical record, whatever the software shows or suggests.
  • Billing suggestions are suggestions. The check for unbilled work flags items that may be missing from an invoice. You decide what to bill.
  • Tax settings are yours. The software applies the tax rates, HSN and SAC codes you set up. You are responsible for their correctness and for your tax filings.
  • You are responsible for meeting the rules that apply to your practice, such as record-keeping and prescription rules.

8. Messages to your clients

MyCliniCore can send WhatsApp messages and emails to your clients on your behalf, such as reminders and invoices. You must have your clients' permission to message them, and follow WhatsApp's policies and the messaging rules in your country. Messages depend on third-party networks, so we can't guarantee that every message is delivered.

9. Acceptable use

You must not:

  • use MyCliniCore for anything unlawful, or to store data you have no right to hold;
  • try to access another clinic's data or any part of the service you aren't authorised to use;
  • upload malware, or interfere with or overload the service;
  • copy, reverse engineer or resell the software, except where the law allows;
  • use automated tools to scrape the service.

We may suspend access that breaks these rules or puts the service or other clinics at risk. Where we can, we will tell you first.

10. Availability and support

We work to keep MyCliniCore available and reliable, but we don't guarantee a particular level of uptime. We may take the service offline for maintenance; where possible we'll do it outside Indian clinic hours and tell you in advance.

Support is by email at hello@myclinicore.com and through the help centre. The service relies on providers such as hosting, messaging and payment companies. Their outages can affect us.

11. Our software

Kalivers owns the MyCliniCore software, website and brand. While your subscription is active, you have a non-exclusive, non-transferable right to use the service for your clinic. If you send us feedback or ideas, we may use them without obligation to you.

12. Warranties

We will provide the service with reasonable skill and care. Beyond that, and to the extent the law allows, the service is provided “as is”. We don't promise that it will be error-free or uninterrupted, or that it will suit every purpose.

13. Limitation of liability

  • Our total liability to you for all claims under these terms is limited to the fees you paid us in the 12 months before the event that caused the claim.
  • We are not liable for indirect or consequential loss, or for loss of profit, revenue or goodwill.
  • We are not liable for clinical, billing or tax outcomes that section 7 makes your responsibility.
  • Nothing in these terms limits liability for fraud, or any liability the law does not allow to be limited.

14. Indemnity

You will cover our losses from third-party claims caused by the records you put into MyCliniCore, the messages you send through it, your clinical decisions, or your breach of these terms or of the law.

15. Cancellation, suspension and termination

  • You can cancel at any time. Cancellation stops the next renewal. You keep access until the end of the period you have paid for.
  • We may suspend or end your account if you seriously or repeatedly break these terms, don't pay after notice, or if the law requires it. For any other reason, we will give you at least 30 days' notice and refund fees for the unused part of a paid period.
  • When an account ends, we keep your records so you can come back or ask for a copy. You can ask us to delete them at any time, and we will do so within 30 days, except what the law requires us to keep. Before we delete the records of an account that has been closed for a long time, we will email you at least 30 days in advance.
  • Sections 6, 7, 12, 13, 14, 17, 18 continue after the agreement ends.

16. Changes to these terms

We may update these terms. We will post the new version here with a new effective date and, for changes that affect your rights or fees, email your account holder at least 30 days before they take effect. If you don't agree, you can cancel before then. Continuing to use the service after that date means you accept the new terms.

17. Governing law and disputes

These terms are governed by the laws of India. The courts at Chennai, Tamil Nadu, have exclusive jurisdiction over any dispute arising from them. Before going to court, both sides will first try to settle the dispute in good faith by writing to each other.

18. General

  • These terms are the whole agreement between us about MyCliniCore.
  • If a court finds part of them unenforceable, the rest still applies.
  • You may not transfer this agreement without our written consent. We may transfer it to a company that takes over MyCliniCore, and will tell you if we do.
  • Neither side is liable for delays caused by events outside its reasonable control.
  • We send notices to your account email. Send notices to us at hello@myclinicore.com or to the address below.
