Several doctors, one clinic: what changes and how it's handled

Front desk

Three doctors' patients in one waiting room, and one receptionist.

Today's Queue shows every booked patient and walk-in, marked waiting, in consult or completed. Filter it by doctor to see one doctor's list, or leave it open to see the whole clinic.

Appointments

Patients booked with the wrong doctor, or with nobody in particular.

Assign an appointment to a doctor, or leave it with any available doctor. The appointment calendar can be filtered by doctor.

There are no separate schedules or availability rules for each doctor. Your desk books every appointment.

Shared records

A patient who saw one doctor last month and another today.

One patient record, seen by every doctor: past consults with their SOAP notes and vitals, prescriptions, vaccinations and lab orders. A patient under 18 has a parent or guardian as the contact.

Staff accounts

Everyone using the same login, so nobody knows who changed what.

Each doctor and staff member signs in with their own account, and changes to patient, prescription and invoice records are logged with who made them and when.

How many staff accounts you get depends on the plan; see the pricing page.

Branches

A second centre across town with its own stock and its own desk.

Add branches in Settings. The Revenue plan covers two branches and the Hospital plan has no limit.

Prescriptions

Every doctor writes differently, and the chemist has to guess.

Prescriptions are typed and print as a PDF with the qualification and registration number of the doctor who wrote it, taken from that doctor's profile.

The services every doctor shares lab, dispensary, billing, WhatsApp

Lab orders

Samples from four consult rooms going to one lab.

Any doctor orders from a list of common tests or types one that isn't listed. Each order moves from Ordered to Sample collected, Processing and Completed, so the desk can see what is still out.

Dispensary

One medicine counter serving every doctor's prescriptions.

Stock is tracked by batch and expiry, the earliest expiry goes out first, and low stock is flagged. A medicine marked as controlled carries a Controlled badge.

The badge is a flag on the medicine, not a register. Keep the registers your licence requires.

Billing & GST

Consults, procedures, tests and medicines from several doctors on one counter.

Each line's GST class defaults from what it is: consultations, procedures, immunisations and lab tests exempt, medicines at 5%. GST is charged only once you add your clinic's GSTIN, and CGST and SGST are split on the invoice.

These are the software's defaults and you can change any line. Your CA confirms which class a service belongs in.

WhatsApp

Reminder calls nobody at the desk has time to make.

Appointment reminders go out on their own the evening before, and vaccination reminders a week before a dose is due. Prescriptions (message and PDF) and invoices go out in one tap. No per-message fees.

Questions polyclinics ask

Can each doctor have their own list of patients for the day?

Yes. Appointments can be assigned to a doctor, and both Today's Queue and the appointment calendar can be filtered by doctor. There are no separate schedules or availability rules for each doctor.

Do all the doctors see the same patient record?

Yes. A patient has one record with past consults, vitals, prescriptions, vaccinations and lab orders, whichever doctor saw them.

Does it work across more than one branch?

Yes. Branches are added in Settings. The Revenue plan covers two branches and the Hospital plan has no limit.

How is a polyclinic with several doctors priced?

The trial is free for 14 days on the Revenue plan, with no card. The plans on the pricing page set how many staff accounts and branches you get. For a polyclinic with several doctors, talk to us and we'll suggest the right plan.

Which WhatsApp messages go to patients?

Prescriptions (the message and the PDF), vaccination reminders, appointment reminders and invoices. Lab results, welcome, birthday and “we miss you” messages are not sent to patients yet: their templates are waiting for WhatsApp’s approval.
